Instructions for Processing Requests for H-1B Visa Fee Checks

The Office of International Students and Scholars (OISS) has worked with Payment Services to outline the process for requesting H-1B visa fee checks. If you have any questions regarding this process, please contact OISS at (304) 293-3519, or at oiss@mail.wvu.edu.

Departments/Expert Business Offices (EBO) must complete the process to request a check as oon as possible to allow time for processing with the State of West Virginia. Please note that it can take 7 to 10 business days to receive a check from the State, after Payment Services has received the Department/EBO’s original Vendor’s Invoice.

1. Since the fees required depend on the facts involved in each visa petition, Departments/EBOs must contact OISS to determine what fees and checks are needed.

2. Once the fees have been determined, the Department/EBO must complete a Vendor’s Invoice form for each check that is needed. The Vendor’s Invoice can be found at http://intranet.finance.wvu.edu/forms/Accts_Payable/VendorInvoice.pdf .

Instructions regarding how to complete the Vendor Invoice can be found at the following link. . Please note that the vendor’s name will be “United States Citizenship and Immigration Services” (do not abbreviate).

3. Once the Vendor’s Invoice is completed, the Department/EBO must scan the form and send a copy via e-mail to oiss@mail.wvu.edu for approval. The Department/EBO must also copy their Immigration Liaison on this e-mail.

Once approved, OISS will rescan the approved document and email it back to the Department/EBO.

4. The Department/EBO must print the approved form and, attach it to the completed Vendor’s Invoice, with original signatures, and send all to Payment Services, P.O. Box 6024. Please ensure that the Vendor’s Invoice is clearly marked to have the check returned to WVU.

5. Once the check(s) have been received from the State, Payment Services will forward the checks directly to OISS. OISS will keep the checks in a secure location until the checks are mailed to the United States Citizenship and Immigration Services with the H-1B visa petition.

6. If the event that the Department/EBO decides to stop the H-1B visa petition, before it is processed with the Department of Homeland Security, OISS will send the checks back to Payment Services with a request to redeposit the funds. Please note that the check is valid for six (6) months from the date of issue.
